Basingstoke and Deane Borough Council covers over 245 square miles in North Hampshire, of which over 90% is rural — including villages, rural hamlets, countryside and 47 conservation areas. The Environmental Care Operations team maintains most of the Borough's green spaces, including sport pitches, open spaces, play areas, roadside verges, floral displays, shrubs, hedges and the Worting Road Cemetery.

“The Council is responsible for mowing over 6 million m² – equivalent to cutting over 1,000 football pitches. Most general open space is cut about 13 times a year from mid March to the end of October. Rough grass areas such as the verges on ring roads are cut six times a year.”

Challenge

Managing inspections, maintenance scheduling and contractor coordination across this scale — while keeping accurate records and ensuring safety compliance — had become increasingly complex. With over 150 play areas inspected daily or weekly, and over 6 million m² of grass to maintain, the risk of lost paperwork and lack of visibility across operations was a real concern.

Solution

The Council deployed PSSLive across Parks and Playgrounds, and has since expanded into Grounds Maintenance, Estate Management and Vehicle Maintenance. Using the mobile application, the team can inspect and maintain all assets in the field — with no paper forms, eliminating the risk of lost or mislaid records.

Maintenance tasks are scheduled and assigned to specific contractors directly from the desktop software. Asset, Finding and Task history is tracked in one place, alongside Works Orders and Budget Costs — providing a comprehensive picture of maintenance requirements across the Borough and enabling more informed future planning.
