North West Leicestershire District Council has been a PSSLive user for over 10 years, expanding their use across Playgrounds, Trees, Parks and Open Spaces, Cemeteries and Grounds Maintenance.
Challenge
As North West Leicestershire's use of PSSLive grew, it became clear that the workflow wasn't designed to accommodate the detailed requirements of Grounds Maintenance. PSSLive was built around inspecting sites and assets, highlighting findings and assigning tasks — but the ongoing and ad hoc nature of grounds maintenance work meant the tool was no longer fit for purpose in that area. Assets were being used as tasks and the system was coming unstuck.
Solution
PSS worked with North West Leicestershire through a series of meetings to determine a full set of requirements, agreeing to trial PSSUltimate — previously built for the London Borough of Islington — for their Grounds Maintenance needs.
Programmes were set up in the names of their teams, listing the sites each team should attend and the tasks to complete on arrival. Seasonal scheduling ensures certain tasks only appear at the relevant time of year. The Issues function allows onsite information to be logged and redistributed to the appropriate team on an ad hoc basis — improving communication between field and office staff. Equipment checks and staff training records are linked together within the same system.
North West Leicestershire continue to use PSSLive for all other areas — Playgrounds, Trees, Parks, Open Spaces and Cemeteries — alongside PSSUltimate for Grounds Maintenance.
